Annual Audit Procedure

The audit is conducted annually for every Association member. It is independent — not a company self-assessment, but an external verification against objective criteria.

How the audit works

  1. Document submission. The member provides a documentation package: service records, insurance policies, contract samples, maintenance logs, client complaint records for the period.
  2. Fleet inspection. A random selection of vehicles from the fleet undergoes technical inspection — compliance with maintenance schedule, drivetrain condition, emergency equipment.
  3. Client process review. The actual rental contract, handover procedure, inspection reports and client complaint handling from the past year are examined.
  4. Conclusion. Outcome: “compliant”, “compliant with observations”, or “non-compliant”. The last triggers the sanctions procedure.

ISO QHSE Standards

The audit is conducted within the QHSE framework — Quality, Health, Safety, Environment. Three independent ISO standards: 9001 (process quality), 14001 (fleet environmental management), 45001 (occupational safety and technical inspections). Each requires independent certification.

How the Charter Protects You as a Renter

The charter is not an internal Association regulation. It is a document that works in your favour every time you rent from a White List member.

Before signing the contract

The charter guarantees that a member’s contract contains no hidden penalty clauses or ambiguous damage language. You have the right to read the full contract before signing — and the company cannot pressure you with “it’s just a formality.”

At vehicle handover

Every Association member is required to prepare a written inspection report with photographs at handover. This is your protection at return: any damage claim for marks not documented in the report is legally indefensible.

During the rental

24/7 live support is a charter requirement, not a marketing promise. A breakdown in the mountains, a flat tyre on the Sheki road, or an uncertain accident situation — a call to the support number must be answered by a real manager who knows your contract.

At vehicle return

Return follows the same procedure as handover: written report, photographs, signatures from both parties. Deposit retention is only permissible on grounds explicitly stated in the contract — “at our discretion” is not a valid basis.

If something goes wrong

Can a company re-join the White List after removal?+

Yes, but not before two years have passed. The company must complete a full re-audit and remedy all violations that led to removal. The decision on reapplication is made collectively by all Association members.

Who conducts the audit — the Association itself or an independent body?+

The audit follows ISO standards, which require independent external certification. The Association oversees the procedure and monitors results, but the actual ISO standard verification is conducted by accredited certification bodies.

What if a White List company violates my contract?+

Document the violation in writing — screenshots, photos, a copy of the contract. Contact the Association with a description of the situation. The charter requires the company to respond within 24 hours and remedy the breach. If this doesn’t happen, the sanctions procedure begins.
